Rent to Rent Tenant Move-In Checklist:
Everything You Must Do on Day One

A structured move-in process protects you legally, sets clear expectations with tenants, and prevents the most common disputes. This checklist covers every step from the day before move-in to day two.

The Day Before: Final Property Checks

Complete the day before a new tenant arrives: test all smoke and CO alarms, check all appliances work (oven, hob, fridge, washing machine), test hot water and heating, check all keys work, complete the room inventory with photos, and prepare the welcome pack with WiFi password, emergency contacts, bin schedule and boiler instructions.

Move-In Day: The Legal Checklist

Legal requirements on move-in day: Right to Rent check (mandatory for all adults), AST signed by all occupants, deposit received and protected within 30 days with DPS reference noted, prescribed information served, How to Rent guide provided (current edition), gas safety certificate given to tenant, EPC provided, smoke alarm tested in tenant presence and noted in paperwork, inventory signed by tenant. 48 Hours After Move-In: Follow-Up Actions

Within 48 hours of move-in: send a welcome email summarising house rules, payment details and maintenance contact. Confirm deposit protection by sending the DPS prescribed information by email. Add the tenant to your maintenance system (Fixflo, WhatsApp group, or email). Record move-in meter readings in your bookkeeping system against the tenant account. Build a File Per TenancyCreate a digital folder for each tenant in Google Drive. Store signed tenancy agreement, Right to Rent copies, inventory, gas safety cert, and prescribed information. This is your complete evidence file for any dispute.

What if I forget to provide the How to Rent guide?

Can I do Right to Rent checks remotely?

Since 2022, digital Right to Rent checks have been permitted for many document types. Tenants can share identity documents via video call, or you can use a certified Identity Service Provider. Always follow current guidance at gov.uk as the rules continue to evolve.

What if a tenant wants to move in before the tenancy start date?

Do not allow this. The tenancy starts on the date in the agreement. Allowing early access blurs the legal start date and could compromise your deposit protection timeline.
